We offer comprehensive billing and revenue cycle management services, insurance panel credentialing, and consulting/coaching specifically tailored to behavioral health private practice owners.

We serve individual practitioners with goals to start and grow a private practice, group practices, psychologists, psychiatrists, Psychiatric Nurse Practitioners, counselors, therapists, and other behavioral health professionals.
What geographic areas do you cover?
Our services are available nationwide within the US. We work with providers to ensure compliance with state-specific requirements.
How does your company stay updated with changing billing codes and regulations?
We have a dedicated team that continually monitors industry updates, including changes in CPT codes, DSM updates, and state or federal regulations to ensure compliance.

How long has Genesis Assist been in business?
Genesis Assist was started in 2013 with the goal to help behavioral health practices grow and thrive in touching and inspiring more lives. The leaders of Genesis Assist led the growth of Genesis Counseling Center which is a large multi-state practice founded in 2006. Our leadership has a combined experience of over a century in the behavioral health field, and over 50 years of combined leadership experience in corporate and small business. We have partnered with many private practices across the US helping them achieve their goals and we are ready to assist you!
How has Genesis Assist adapted to changes in billing regulations, technology and Industry standards?
We have continuously evolved our processes and systems to maintain compliancy and efficiency. We stay updated on regulatory changes, including new healthcare billing laws and payer requirements. Genesis Assist provides ongoing training for staff to ensure they are knowledgeable about the latest compliance standards. We implement automated systems that help flag discrepancies or non-compliance with billing rules to reduce errors.
Billing
What is behavioral health billing?
Behavioral health billing involves submitting claims for services such as therapy, counseling, testing/assessment, and psychiatric evaluations to insurance companies for reimbursement. We verify your clients’ insurance benefits specific to behavioral health services and not just general medical coverage to help achieve clean claims, low denial rates, and best-in-class billing with a net collections rate of 98%.
How do you handle denied or rejected claims?
We review each denial or rejection, determine the cause, and resubmit corrected claims promptly. We also provide insights and monthly aging reports to you and your staff to help avoid similar issues in the future. We have many years supporting the growth of a large private practice as well as working with many smaller ones, so we are uniquely positioned to help you minimize denied and rejected claims.
How often are claims submitted?
We submit claims daily to ensure timely reimbursement and to avoid cash flow interruptions for your practice.
What billing platforms do you use?
We currently work with both Valant EHR and Simple Practice and are growing in our ability to serve providers on other platforms. Unlike typical third–party billing companies that export your data and load it into their system to process claims, we work directly within your EHR account, so all claim data and progress is visible by you and your staff.
How do I get paid from insurance companies?
Once the claims are processed and approved, payments are sent directly to your bank account via Electronic Fund Transmission (EFT) or via check.
What do I need to provide for you to start managing my billing?
We will need access to your practice management system, provider information, insurance contracts, and patient data. We will guide you through the start-up process step by step, ensuring a successful start-up with the Genesis Assist billing team.
Credentialing
What is insurance panel credentialing and why is it important?
Credentialing is the process of verifying a provider’s qualifications with insurance companies. It’s necessary for behavioral health providers to become in-network with insurance panels, ensuring they can accept insurance from patients.
Which insurance companies do you work with?
We work with all major insurance payers in all states. We take care of the research for you!
How long does the credentialing process take?
The credentialing process typically takes 60-120 days, depending on the insurance company and completeness of the required documentation. Federal plans may take longer as systems are slower and requirements stricter.
What documents are required for credentialing?
Your CAQH profile is required for credentialing and additional documentation may be requested such as your license, malpractice insurance, resume, DEA certificate (if applicable), etc.
Can you help with re-credentialing?
Yes, we assist with re-credentialing by monitoring deadlines and ensuring that all necessary documentation is submitted on time. We also offer a CAQH maintenance and Availity attestation services.
What if I want to add new providers to my practice?
We are excited to help you grow your practice and can assist with credentialing new providers to ensure they are approved to bill through insurance panels as quickly as possible. Using Genesis Assist for all your credentialing needs will help ensure consistency and that your credentialing is timely and complete for your team.
Do I have to be licensed and have liability insurance?
Unfortunately, yes. All panels require providers to be licensed with their applicable state. You are not required to possess an individual liability insurance policy; however, you do have to at least be on a group policy.
I’ve heard something about a NPI and NPI 2; what are they and do I need them?
A NPI is a National Provider Identifier and is an assigned number to each individual provider; an NPI 2 is assigned to an organization. If you are starting your own practice/company, you will need both. Each is simply a number for insurance panels to identify you in the sea of providers nationwide.
What if I don’t have an NPI?
No problem. This is a quick and painless process and can be included in your credentialing package at no extra charge.
Can you help me with CAQH?
We certainly can. You must complete your online profile, but we can help you through the process, send in your authorization/release, and other documentation. We can also help you maintain your CAQH profile. This will keep all your documentation current on the CAQH database and take care of your quarterly re-attestation.

What are the options for consulting and coaching support?
We start the process with a free consultation to get to know you, gain a general understanding of your challenges and goals, and then provide suggestions on how to proceed. We offer one-time consulting/coaching sessions for targeted support, three session packages which are the most popular choice, and retainer packages which gives you the greatest flexibility to get the advice and support you need.

Pricing & Contracts
How do you charge for your services?
For Billing, we have a one-time start-up fee that helps cover all our work to get you set up for success. After launch, we charge a monthly percentage based on your receipts. There are no hidden costs and charges for each claim processed, etc., like some billing companies. We do not get paid until you get paid!
For Credentialing, we charge a flat fee for each insurance panel we help you with. The fee for government agencies (e.g., Medicaid, Medicare, and TRICARE) is slightly higher because of the additional time and effort required. We also offer targeted support to help resolve prior credentialing issues, do research for you, etc. on an hourly basis. Payment for credentialing services is needed upfront to start the work.
For Consulting/Coaching, we offer a free initial consultation to get to know you and your goals, challenges, etc. Then we have both one-time and package options that can be tailored to your needs.
Is a long-term contract required for billing services?
There is a lot of effort involved to get a new practice up and running for billing services, so our initial service agreement includes a two–year period which renews yearly afterwards. Please reach out to us for specific details so that we can discuss your practices specific needs.

Support & Communication
How can I contact you for support?
You can contact us via email, phone, or for our billing clients through our secure Valant EHR portal. We also offer regular updates and reports to keep you informed about the status of your billing and credentialing.
Will I have a dedicated billing account manager?
Yes, each client is assigned a dedicated account manager to ensure personalized service and clear communication. The Genesis Assist team will support your account manager so that you always have Genesis Assist on your side working on your billing.
How often will I receive reports on my billing and credentialing status?
We provide weekly and monthly reports to keep you updated on claims, payments, and credentialing progress.
